EDmotionsAI is an AI-powered Emotional Management System (EMS) designed exclusively for educational use in K–12 schools.

1. Who This Policy Applies To

This Privacy Policy applies to all users of the EDmotionsAI platform, including:

• Students (primarily minors in grades K–12)
• Educators and school staff
• School and district administrators
• Authorized school partners or researchers (using anonymized data only)

Students use EDmotionsAI under the supervision of their school and with any required parental consent obtained by the school.

2. Information We Collect

We collect only the minimum information necessary to deliver educational and social-emotional learning services.

a. Profile & School Information

Collected through school rostering systems:

• Name
• Grade level
• Role (student, educator, administrator)
• Class or group assignment
• School or district identifier

We do not collect home addresses, phone numbers, Social Security numbers, or financial information from students.

b. Emotional & Reflective Data

To support emotional growth and well-being, we may collect:

• Student journal entries
• Emotional check-ins or reflections
• Mood or sentiment responses
• AI-generated insights or coaching responses

This data is used only for educational and well-being purposes and is never used for advertising or commercial profiling.

c. Usage & Engagement Information

We collect limited metadata such as:

• Session timestamps
• Feature usage
• Frequency of engagement

We do not track detailed behavior such as keystrokes or browsing activity.

d. Optional Feedback

Voluntary responses such as surveys or feedback forms may be collected to improve the platform and are clearly labeled as optional.

3. How We Use Information

We use collected information solely to support our educational mission, including:

• Providing emotional coaching and reflective activities for students
• Helping educators identify trends and support student well-being

All third-party service providers are contractually required to protect data and use it only for approved purposes.

• Schools may request data export or deletion at any time
• When deletion is approved, data is securely removed from active systems and backups within defined timeframes
• Anonymized data may be retained for research and product improvement

7. User Rights & Choices

Privacy rights are typically exercised through the school, which acts as the data steward. Rights include:

• Access to student records
• Correction of inaccurate information
• Deletion of personal data, when permitted by law
• Restriction of participation in optional or research-based uses

8. Children’s Privacy

EDmotionsAI is designed exclusively for school-authorized use.

• We comply with FERPA and act as a “school official”
• We comply with COPPA and collect data from children under 13 only with school authorization
• We do not use student data for commercial purposes

9. Incident Response

In the unlikely event of a data security incident, we will:

• Promptly investigate and contain the issue
• Notify affected schools in accordance with applicable laws
• Take corrective action to prevent recurrence

10. Policy Updates

We may update this Privacy Policy to reflect changes in law, technology, or practices. Material changes will be communicated to partner schools, and the effective date will be updated.
